Volunteer

PYPO depends on its valued volunteers to help with the success of its programs. PYPO friends, alumni and parents can volunteer in various ways including:

  • bringing and setting up snacks,
  • assisting with planning and execution of special events,
  • selling merchandise,
  • handing out programs at concerts,
  • setting up concert receptions and other events,
  • assisting office staff with mailings or other office work.

We are always looking for volunteers for ongoing and specific projects throughout the year. If you have special skills that you would like to offer PYPO, please let us know!

Parent Volunteer Committees

Snack Committee:

Number of Volunteers:  

  • One chairperson
  • 3 different volunteers/week to each bring 6-7 dozen snacks for Prelude and Philharmonic rehearsals on Saturdays

Job description:

  • Chairperson – The chairperson for this committee will be responsible for setting up a snack signup schedule through SignUpGenius for the Prelude/Philharmonic Saturday rehearsals during the 2017-18 season.  The chairperson will also be responsible for emailing the snack sign up to all Prelude and Philharmonic families and monitoring it to make sure that every snack slot is covered weekly.  This job will last from October through March and can be done from home via computer as it fits into your schedule.
  • Snack volunteers – 3 parent volunteers are needed per week to bring in 6-7 dozen snacks for Saturday rehearsals.  Families are able to sign up for one or more weeks to bring in snacks via SignUpGenius and this commitment will last only during the week(s) that you sign up to donate snacks and occurs during student drop off time.

Performance Committee:

  • 10 Committee volunteers

Job descriptions:

  • The chairperson will coordinate committee volunteers to assist in selling tickets during dress rehearsals and two hours before concerts, passing out programs/collecting tickets before performances and plan receptions to follow.  This job will take place during the dress rehearsals and concert dates in the 2017-18 season.
  • Performance Committee members will be asked to assist in tickets sales during concert dress rehearsals and before concerts, pass out programs, collect tickets before performances, and assist with receptions after performances.  This job will take place during the dress rehearsals and concerts dates in the 2017-2018 season.

Fundraising Committee:

  • 6-8 Committee volunteers

Job description:

  • The chairperson will be responsible for coordinating the fundraising committee to assist the executive director with the Barnes and Noble December fundraiser, all tour fundraisers, and end of the year fundraiser.   This job will span throughout the entire 2017-18 season and can be done at home via computer or during Saturday rehearsals.
  • Committee volunteers will be assigned tasks to assist the executive director with the advertising and coordinating of the Barnes and Noble fundraiser, tour fundraisers, and end of the year fundraiser.  Tasks may include advertising the Barnes and Noble fundraiser, tour product fundraisers, and end of the year fundraiser,  sending emails to PYPO families about upcoming fundraisers and deadlines,  collecting product sales forms and monies, and obtaining volunteers to assist with gift wrapping at the Barnes and Noble fundraiser. This job will span throughout the entire 2017-18 season and can be done at home via computer or during Saturday rehearsals.

Social Committee:

  • 2-3 parent volunteers

Job description:

  • Chairperson will designate and coordinate volunteers to assist in the advertising and planning of social event(s) for all PYPO musicians.  Committee Jobs will include finding and securing facilities for the social to be held, organize teams based on students that signup (i.e. Strings vs. Winds) if applicable, compiling an informational email to send out to families advertising the social and have committee members present the day of the social(s).  
  • Volunteers will assist the chairperson in the planning and advertising of the social event(s) for the PYPO musicians.  Responsibilities may include sending out informational emails to families about the social, creating a tournament bracket based on the number of students that are signed up (if appropriate), and attending the social to coordinate.

Please note:  social events will be selected by staff and board members.
